How to open and add a Shared Email Box in Microsoft Outlook web client or desktop app.

A shared mailbox makes it easy for a group of people to monitor and send email from a public email alias like helpdesk@tccd.edu. When a person in the group replies to a message sent to the shared mailbox, the email appears to be from the shared address, not from the individual user. 

A shared mailbox is not designed for direct logon, though. 

Add a Shared Mailbox

  1. Open Outlook via office.com or your desktop app
  2. Sign-In using your TCC email address and password

Note: Multifactor Authentication (MFA) will prompt you to authenticate the log-in. Please see setup instructions at: set up Authenticator access

  1. You may receive the TCC Acceptable use Guidelines, scroll the document to the bottom of the screen and click Accept

Office.com

  1. Click your picture or placeholder icon in the upper-right corner
  2. Choose “Open Another Mailbox.”

Note: you will open the shared mailbox every time you open OWA.

  1. Type the name of the Shared Mailbox you want to add
  2. Click the mailbox name to select
  3. Click Open. The mailbox will open in a new tab

Outlook Desktop App

  1. Click your picture or placeholder icon in the upper-right corner
  2. Choose File in the top left ribbon
  3. Choose Account Settings, you'll see Account Settings a second time, click it
  4. Once a settings box pops up select the Email tab
  5. Click on your email address once to highlight it, then choose Change
  6. Choose More Settings Advanced Add
  7. Type the name of the shared email box you want
  8. Choose OK OK
  9. Choose Next Finish Close
  10. You will need to close and restart you Outlook App for changes to take effect. When you re-open your inbox you should see the Shared box listed below all of the folders of your other account(s)
 

Mobile device (phone or tablet)

  1. Sign in to your primary account in Outlook for iOS or Android.

  2. Tap the Add Account button in the left navigation pane, then tap Add a Shared Mailbox

  3. If you have multiple accounts in Outlook Mobile, select the account that has permissions to access the shared mailbox. 
    Select the account that has permissions to your shared mailbox.

After the account setup process completes, the shared mailbox will display in your account list in Outlook for iOS or Outlook for Android. 

To remove a shared mailbox, go to Settings Accounts. Then tap on the shared mailbox and select Delete Account
