LMS Admin's will receive the "Canvas I students Report" E-Mail on the 1st and 15th of each month. While we are working with the Application Development team to automate the process this will need to be managed manually.
Steps To Implement
Receive list from App Dev group - Canvas I students Report
Download attached file
Navigate to Canvas
Navigate to "Admin" Tab
Navigate to "Tarrant County College District" subaccount
Navigate to "Settings"
Navigate to "Reports"
Select "Configure" next to "Provisioning"
Select "Incomplete" term
Select "Courses CSV"
Click "Run Report"
Refresh the page until the report has completed
Download the report
Create a New Excel document
Open "Canvas_I_Students.csv" file
Enter "=CONCAT(C2," ",D2)" in to "G2" Cell
Double click bottom right of cell to copy it to the bottom of the page
Enter "=IF(G2=G3,TRUE,FALSE)" in to "H3" Cell
Double click bottom right of cell to copy it to the bottom of the page
Filter on Column H
View instances of "TRUE" in Column H
Select first row
Hold Shift and select the last row
Right click Row and select "Delete Row"
Remove Filter from Column H
Copy Column G
Paste in to Notepad
Copy from Notepad to New Excel Document
Sort from A to Z
Create new Sheet on Excel document
Open Provisioning report
Copy column "E"
Paste in to new sheet in Excel document
Delete Row 1
Sort A to Z
Copy Column A from the second sheet to Column B of the first sheet
Insert Row above row 1
Enter "Colleague" in to A1
Enter "Canvas" in to B1
Click on "Developer" tab
Click "Visual Basic"
Click File
Click Import File
Navigate to "\\Trtc2000\lms"
Select "Excel Sort.bas"
Select "Open"
Click File
Click Save
Enter a Name for the document
Change "Save as Type" to "Excel Macro-Enabled Workbook"
Click the "Save" button
Close the Visual Basic Window
Click Macros
Click AlignColumnInfo
Click Run
Save the file
Navigate to Canvas
Navigate to "Admin" tab
Navigate to "Courses"
If a course is listed in the "Colleague" column, but not the "Canvas" column, search for the course
Click on the link to the course listed in the "Courses" column of Canvas
Navigate to "Settings"
Update the "Term" to "Incomplete"
Update the "End" date to the date listed in the "Grade_Exp_dt" column from the "Canvas_I_Students.csv" file
Click the "Update Course Details" button at the bottom right
Click on the "Sections" tab at the top left
Click on the link for the section you are trying to update
Click "Edit Section" button at the top right
Update the "Ends" date to the date listed in the "Grade_Exp_dt" column from the "Canvas_I_Students.csv" file
Click on the "Update Section" button
Complete this process for all courses listed in the "Colleague" column, but not in the "Canvas" column
Navigate to "Admin" tab
Navigate to "Courses"
If a course is listed in the "Canvas" column, but not in the "Colleague" column, search for the course
Click on the link to the course listed in the "Courses" column of Canvas
Navigate to "Settings"
Navigate to "Sections" tab
Confirm that a section from the "Colleague" column isn't included in the course
Navigate to "Course Details" tab
Update "Term" to originally set term
Click on "Update Course Details" button at the bottom right
Complete this process for all courses listed in the "Canvas" column, but not in the "Colleague" column
