Multifactor Authentication: Use a Temporary Access Pass (TAP)

Definitions

Multi-factor Authentication (MFA) is an authentication method that requires the user to provide two or more verification factors to gain access to a resource such as an application or an online account.

Temporary Access Pass (TAP) a time-limited passcode issued by an admin that satisfies strong authentication requirements.

Self-Service Password Reset (SSPR) gives users the ability to change or reset their password, with no administrator or help desk involvement.

Virtual Desktop Infrastructure (VDI) refers to the process of running a user desktop inside a virtual machine that lives on a server in the datacenter

As of October 13, 2023, all TCC students will begin using MFA to access Office365 applications and other TCC sponsored applications. 

  • You do not have a mobile device, you left your mobile device at home or you prefer not to use your mobile device for Multi-factor Authentication. 
  •  Instead of using a mobile device for authentication you will use a "Temporary Access Pass."
  •  You will also be prompted for MFA when using a VDI device or VDI online http:\\cloud.tccd.edu to access your VDI "Workspace."

Getting Started

Follow the steps in this document to access and use a Temporary Access Pass (TAP).

1. You will call the 24/7 Help Desk at 817-515-8324 (TECH) to request a “Temporary Access Pass.”

  • The Help Desk will verbally give you the 8-digit TAP.
  • The Temporary Access Pass is case sensitive.
  • The TAP is unique and is active for 30 days for those students who do not have a mobile device.
  • Other requests for a Temporary Access Pass generally range from one day to seven days.
  • On the 29th-30th day of obtaining your TAP you will call the Help Desk at 817-515-8324 and request a new TAP.
  • Provide a personal email address and the Help Desk will email your Temporary Access Pass and the expiration date of the TAP.
  • YOU CANNOT USE A TCC EMAIL ADDRESS TO RECEIVE THE TAP
  • If you are unable to call the Help Desk on a personal device, we have phones available at each campus for you to use to request a TAP. You can locate the phones at the following locations:

 2. You can log into a VDI device, VDI online http:\\cloud.tccd.edu, Microsoft Office http://aka.ms/mysecurityinfo or another Microsoft application to setup you account to use a "Temporary Access Pass."

  • The following browsers may be used.
  • (ChromeNew Incognito Window  (Firefox) or New InPrivate Window (Edge, Incognito Window) 
  • DO NOT USE INTERNET EXPLORER

3. Enter your @my.tccd.edu email address - click “Next.

4. Enter your 8-digit Temporary Access Pass – click “Sign in.”

Accepting TCC Guidelines

5. You will need to accept the TCC Guidelines.

  • If you have previously logged into the TCC network and accepted the TCC guidelines, you will not receive this prompt. You will Continue to step 6.

Otherwise click the arrow to the right of the shown date then click “Accept.”


Setting up SSPR (Self-Service Password Reset)

6. You will receive a screen indicating “More information Required” – Click “Next.”

  • .If you have previously logged into the TCC network and configured your account for SSPR you will not receive this prompt. You will Continue to Step 11.
    The following screen will appear for you to configure “Self-Service Password Reset.”

7. You do not have a mobile device so you must choose “I want to set up a different method.’

  • Since you do not have a mobile device, you cannot choose “Enter Phone Number.

8. Click the drop-down arrow and choose either email or security questions.  Then click “Confirm.”

  • I chose “Security Questions.”
  • Choosing security questions does not require you to have a device.​​​​​​​

The following screen appears for you to choose your “Security Questions.”

9. The following screen will require you to fill out all five security questions.  When completed click “Done.

  • You need to choose questions in which you will remember the answers.
  • If you take to long the screen will produce an error and you will need to start over.
  • If you receive a time out error ​​​​​​​"click the back arrow located on the screen until the “More information Required” screen appears then click “Next.”


​​​​​​​​​​​​​​​​​​​​​10. Click “Done” when the following screen appears.



10B. If you take too long, you will time out. Enter your TAP again and click “Sign in.”

  • If the re-entered TAP is not accepted ​​​​​​​"click the back arrow located on the screen until the “More information Required” screen appears then click “Next.”

11. Click “Yes” at this screen.

Note: if you configured your account using a VDI device or VDI online at http:\\cloud.tccd.edu the following will appear.

  • On the first window that appears Click on Apps, located in the selection bar.
  • The following window will open containing your "Student Workspace" along with other often used applications.

 

Note: if you configured your account by accessing www.office.com.

  • When the first window opens Click the arrow to the right of the picture until it closes. 
  • The second window appears with "Welcome to Microsoft 365".

 

  

 

Now that you have setup your account using a "Temporary Access Pass"

​​​​​​You have completed setting up SSPR, have accepted the TCC guidelines and have configured your account to use a "Temporary Access Pass" for MFA.

From now on you will provide the "Temporary Access Pass" to satisfy Multi-factor Authentication for the following. 

  • Logging into a VDI device.
  • Logging into VDI online http:\\cloud.tccd.edu.
  • Logging into Microsoft Office www.office.com or other Microsoft applications.
  • Logging into other TCC applications that requires Multi-factor Authentication.
  • The screens below will appear each time you access those listed above.

Now when you access applications that require Multi-factor Authentication you will receive the screen prompts shown below.

Click Yes, if this is a VDI device or VDI online. Click No, If this is not your device.

Do not forget to obtain a new Temporary Access Pass on the 29th - 30th day of using your current TAP.
