Student Questions

  • Students: Do I log in with @my.tccd.edu or tccd.edu, or both?
    • Students use only the @my.tccd.edu email address.
  • Students: How can I redirect emails into Outlook at this time and/or at the changeover?  What about emails that come closer to the deadline - do we keep moving emails until then?
    • Students cannot access Outlook until after the transition. In the meantime, follow the instructions in the Download Google Gmail Emails to a Zipped File article, you may also forward emails to alternate email address. We recommend you complete this process now for the bulk of the emails you would like to keep. Then again closer to the transition date for only those email you received since the last download.
  • Students: I have emails going back several years and am unaware if the process provided - and OneDrive space - is sufficient to make the relocation possible without complications. 
    • Forward the emails you want to keep to an alternate email account. Follow the instructions in the Download Google Gmail Emails to a Zipped File article for multiple emails. TCC student OneDrive accounts have a storage capacity of 5 TB.
  • Students: I have my personal Outlook account added to my computer application.  How will this impact that account?  
    • It will not. You are able to add multiple Outlook accounts to the application and run them simultaneously. If you would like to keep them separate you are also able to access your MyTCC email via office.com.
  • Students: How will this impact my personal OneDrive account?
    •   It will not. You are able to have your personal OneDrive account plus a school account on your computer. See Microsoft's How to add an account in OneDrive (microsoft.com) for additional information. Ensure when you are saving documents you select your TCC OneDrive, just like saving to any particular location/folder. 
  • Students: I use a Chromebook for my schoolwork. Will I still be able to use it after the transition?
    • After the September 30, 2023 transition Chromebooks will still work, though you will not be able to log in to your Google profile with your my.tccd account anymore. You may use a different Google profile, then visit TCC webpages and log in on the pages. All TCC webpages will work in Chrome.

Logging in

  • Should we add my.tccd.edu to Outlook now or wait after Sept 30?
    • You can't add the email now because the mailbox does not exist yet. The new Exchange Online mailbox will not be available until Oct 1.
  • What will happen to the @my.tccd.edu emails after Sept 30?
    • The Gmail mailbox will be disabled and will no longer be accessible. From Oct. 1 forward, all email sent to @my.tccd.edu will be delivered to a @my.tccd.edu mailbox in Microsoft 365.
  • Will @my.tccd.edu be removed from the ICR and changed to Outlook email? Right now, the ICR automatically puts down my.tccd.edu.
    • The address is the same, so all emails will be delivered and sent the same as before. The only change is you open Outlook and not Gmail.
  • Will we have to toggle between Microsoft accounts to access email from my.tccd.edu once it becomes an MS account?
    • You can add your @my.tccd.edu mailbox to Outlook so you can access both at the same time. You can also add your @my.tccd.edu OneDrive to your @tccd.edu desktop.
  • Will we have two different passwords/log in since we have two Microsoft accounts; will Single Sign On (SSO) work?
    • There will be two accounts and logins but the two mailboxes and OneDrive can be mounted at the same time to make it simple to access data.

Transferring Content from Google to Microsoft

  • When I converted Google Power Points/Forms/Sheets over to 365, the short videos that were embedded/form options/formulas did not transfer. How do I get them to transfer?
    • Unfortunately there is no conversion support for Google to Microsoft -embedded videos, form options, formulas, etc. You will need to re-re-create the content in the Microsoft equivalent. 
  • How would you migrate documents made in Google Docs to its Microsoft equivalent?
    • For individual files:
      • Open the Google Docs file that you want to convert to Word format.
      • Click File > Download As.
      • Select Microsoft Word (.docx) from the list of options.
      • The converted file will be downloaded to your computer.
      • Open the file with Microsoft Word or any compatible program.
    • For multiple files in bulk, we suggest following the instructions in the Knowledge Article, Copy Google Drive Contents to Microsoft OneDrive. Once contents are copied to OneDrive it will default to opening in Microsoft products.
  • I kept my teaching materials in my Google Drive. Is there a way to quickly move all of it into OneDrive and keep the organization within folders intact? Can I simply highlight the entire drive, copy, and paste it into OneDrive?
  • I currently use Google Sites, what is a good Microsoft replacement?
    • SharePoint.

Sharing Microsoft Content

  • The College doesn't allow Sway to be shared with individuals outside of the organization, whereas Google Sites did. This decreases the number of individuals we can engage with (students, staff, and community members). Is the ability to share Sway with those outside of the organization going to change?
    • We are working on ways to share externally and will publish more info soon.
  • With Google docs, I could change the sharing link to force it to make a copy when a student clicked the link. Is that possible with a OneDrive file? But with Google, students weren't changing my original doc. It copied the doc, so each student had their own copy to type answers on and submit as an assignment.
    • You can share it as View, once the file is opened, they can go to File > Save As to save a copy they are able to edit. Once they have finished editing, they can Save, and send it to you.
  • What is the best medium for students to attach their drafts for sharing/peer editing activities without necessarily integrating the editing marks on the digital copy/draft itself? 
    • Microsoft Outlook would be the best method for exchange, they are able to attach drafts to emails. They could download their own copy of the document and apply edits without changing their partners digital version.
  • Is there any other way outside Outlook, where students can communicate/exchange drafts efficiently to each other? 
    • Students can exchange and collaborate on documents using Microsoft Teams.

Other Google Products/Questions

  • Is TCC blocking access to the Google search engine?
    • No.
  • Will TCC block the free Google stuff that the students used: Google doc, drive, sheets, and slides?
    • TCC will not block any free Google applications or services.
  • May TCC staff use Google forms to work with ISD partners?
    • After September 30, 2023, TCC will not support Google workspace documents. TCC is encouraging staff to only use MS tools going forward. 
  • Will this affect the use/functionality of Google Chromebook supplied by ISD's to their students?
    • No.
