MS OneDrive: Share a Document with an External User

Before we start reviewing how to share files with external users I want to show you how TCC has configured “OneDrive for Business” for the district.

We will start our review on how to share files with external users.

I am going to present the most restrictive form of document sharing.

Open “OneDrive for Business”  https://onedrive.live.com/about/en-us/signin/

Enter your TCC email address click “Next” then enter your Network “password.”

 You will receive a prompt for "Multifactor Authentication."

Highlight the document that you want to share.  Click the “ellipsis” then  Click “ShareUploaded Image (Thumbnail)

Note: If sending to someone outside of TCC click the > arrow then Choose “Specific People.”

Click “Other Settings”  -  Choose the permissions for the document.   I chose “Can Review.

To send to an external email address we chose ”Specific People.”

We are allowing “Can View” no editing of the document allowed.

We chose to “Block Download” of the document that the recipient is only allowed to “View.”

Enter the recipient's email address.

The icon shown below indicates the recipient has “View Only” file permissions.Uploaded Image (Thumbnail)Enter a message indicating what you are sending. You have a 500 character limit.

Message Example:

“This link will open a document named “Storms.” You have “View Only” permissions and cannot share the link with others.

If this is not a Microsoft email address you will be prompted to request a “Security Code” and one will be sent to the email address used.

The sender will see the following email  in their Outlook “Sent Items.”

The recipient opens the email then clicks “Open.

The recipient may receive the following message when they click “Open” they should click “Proceed.”

The next screen appears for the recipient to request a “Verification Code”  - they Click “Send Code.” The recipient will receive an email containing the code to enter then “Verify.”

 When the recipient opens the email they will see the verification code that they will enterUploaded Image (Thumbnail)

Enter the “Verification Code” and then click “Verify.” Uploaded Image (Thumbnail)​​​​​​​

The document opens.

 In the upper left corner, the following message appears:

File Permissions -Brief overview

When you click the document “ellipsis” you will see the choices for “managing” your document. ​​​​​​​Uploaded Image (Thumbnail)

Choosing “Manage” allows you to assign a variety of permissions to a shared file.
