Hello and welcome to your Quick Start guide for the Cisco 9851 Desk phone. This guide will show you the basics of your phone so you can stay connected across TCC.
Setting a voicemail is essential for new users.
So we'll start there. To set up your voicemail, you're going to hit your voicemail button. That is the star button right here. By default, it will go to speakerphone. You can see it's enabled here. If you wish, you can pick up the handset so it transfers to your handset.
You'll be prompted to enter a PIN for your voicemail box. Since you're a new user your default Pin number will be one, two, three, four, five, followed by the pound key.
Then you'll be prompted to create a new PIN for your voice mailbox. From there you can record your name and a greeting for your voicemail box.
Once your voicemail box set up you can quickly access your voicemail again by clicking the start button. Then you'll be prompted to enter your new pin. Followed by the pound. And then you'll have access to any voice messages you may have.
Now let's cover making and answering calls.
You have different ways to make a call. For example, you can pick up your handset and enter in your party's extension number. You'll get a notification showing that the call is going through. You can end the call, if you'd like, by pressing a soft key or simply hanging up your handset.
Another way to make a call is to use the speakerphone function. Simply hit the speakerphone button, dial the extension and you will get an alert that it's going through. You can end a call by hitting the end call soft key. Or hitting the speakerphone button. Or if you pick up your handset, the call will transfer to your handset.
You can also make calls by using the redial feature. Which will call the last number you dialed.
Or you can hit the call button. And you can use the directional pad to scroll through your recently placed calls.
Or you can access directories and again using your directional pad to scroll through the directory. Once you found a contact that you want to call. You will simply stay on their name and hit the call button. You can also access the directory by clicking the directory button.
Now let's review answering an incoming call.
When you are receiving an incoming call you can choose to answer the call by picking up your handset, using a soft key, or using a speakerphone.
You can decline a call, which will send it straight to your voicemail, or you can choose to ignore, which will essentially silence the ringer on your phone and it will continue ringing for the person trying to call you and get in touch with you. It will continue ringing for them until it goes to your voicemail, where they can leave you a message if they wish.
Let's go over some features available to us while we're on a call.
When you're on an active call, you can choose to transfer the call by clicking the transfer soft key or the transfer button. Then you can enter your colleague's extension, and if your colleague is available, they'll answer. You can give them a heads up that you are going to transfer a call to them. Once you have the okay. You can hit transfer. And you'll get a message saying that the transfer was a success.
The Cisco DPI 9851 phone is also capable of conference calling. If you are on an active call you can hit the soft key to scroll over and you can see the soft key for conference call, or you can use the conference call button. It will put the first caller on hold. Then you can call another colleague or another number. Then you can allow them to answer, see if they're available. If they are ready for conference call, you can hit the conference button and it will merge the two calls into a conference call
If you want to place a caller on a brief hold, you can use the hold button. While on hold, you can choose to make a new call to end the call or to resume a call.
If you've missed the call. Your phone will alert you by flashing a red light at the top and you'll also get notifications. Flashing between the missed symbol, which is a red down arrow with the number below it, noting how many missed calls you have or the voicemail symbol. I have a missed call and a voicemail.
If want to see my missed calls I can hit the options button, and then hit select. Now I can see all calls received or placed. Just my placed calls, just my received and just my missed calls. Now you can choose to delete all. That will get rid of all of your notifications that you have. Or you can choose, say, for example, this missed call. I can see details.
When I go to details, I have the option to delete, or edit the dial if I need to. I also have options here that I can choose that are the same. So if you want to get rid of your missed calls notification, then definitely go here, and then you can hit options. I'm just going to hit delete all. And now the missed call notification is gone. But I still have my voicemail notification there. So remember, you can get to your voicemail. By hitting the star key or your voicemail key.
Some other options available to us besides our recent calls or missed calls. Are User Preferences. If we select User Preferences, we can toggle between audio and screen. If we select audio, we can choose our ringtone and our ringtone volume.
You can also change your microphone audio to choose how you want your microphone audio to be heard. By default, it has noise removal set.
There's also accessibility settings, which will allow for voice feedback when making calls. You can also change your font size.
The last feature we'll go over today is the red 911 button.
This button is located on the top right of your phone.
If you are in an emergency situation and need to contact campus police. You will press that E 911 button once.
There's going to be a five second delay before it connects. If you have pressed the button by accident, click the cancel button before it connects. If you don't cancel before it connects, the phone will automatically dial the campus police at 58911 and send your location details to the dispatcher.
Once the call connects, speak clearly and provide any additional details the dispatcher may need. The location Information from your phone may already be sent, but providing your exact address and situation will help first responders.
